2. Who Can Report
A concern may be submitted by an employee, trainee, contract worker, consultant, vendor representative, business partner, or any other authorised person who has a genuine workplace-related concern connected with Ramani Groups.
3. What Can Be Reported
Examples of matters that may be reported include:
- Fraud, theft, bribery, corruption, falsification of records, or misuse of company assets.
- Serious violations of company policies, internal controls, laws, or regulatory requirements.
- Harassment, discrimination, intimidation, abuse of authority, or serious workplace misconduct.
- Conflicts of interest, improper gifts, unauthorised benefits, or unethical business practices.
- Health, safety, environmental, data-security, or information-confidentiality concerns.
- Retaliation against a person who has raised a concern in good faith.
- Deliberate concealment of any of the above.
Routine personal grievances, leave requests, payroll questions, performance discussions, and ordinary operational issues should normally be raised through the appropriate manager or Human Resources channel unless they involve serious misconduct or retaliation.
4. Good-Faith Reporting
Reports should be made honestly and in good faith, based on information the reporter reasonably believes to be true. A person is not expected to prove the concern before reporting it; however, knowingly false, malicious, or misleading allegations may result in appropriate action.
5. Confidentiality
Information provided through this channel will be handled as confidentially as reasonably possible. Details may be shared only with persons who need them to review, investigate, respond to, or legally manage the concern. Absolute anonymity cannot be guaranteed where disclosure is required by law or is necessary for a fair investigation.
6. Protection from Retaliation
Ramani Groups does not support retaliation against anyone who raises a genuine concern, participates in a review, or provides information in good faith. Suspected retaliation should be reported immediately through this channel.
7. Review and Investigation Process
Submitted concerns may be assessed to determine their nature, seriousness, available evidence, and the appropriate reviewing authority. Depending on the matter, Ramani Groups may seek additional information, conduct interviews, preserve relevant records, involve authorised internal or external specialists, and take corrective or disciplinary action where warranted.
Because of privacy, legal, and employment obligations, the reporter may not always receive details of the investigation or final action taken.
8. Reporter Responsibility
Provide clear and accurate information wherever possible, including dates, locations, people involved, a description of what occurred, how the matter became known, and any supporting records. Do not obtain evidence through unlawful access, impersonation, threats, or any action that could create additional risk.
